Co-Curricular Transcript Goes Digital

The Dean of Students’ Office has recently implemented some changes to the Co-Curricular Transcript program to make adding or changing extra-curricular activities faster and easier, according to Christi Wells, program coordinator.

“When the CCT was first implemented, the student was asked to print out an ‘Entry and Validation’ form, fill it out, and have it signed by a contact person that could verify their involvement in the organization, award, or community service,” Wells said. “The student then had to bring the form to the Dean of Students’ Office to have it validated by our staff.

“Now, the entire entry process is performed online,” she said.

The Co-Curricular Transcript is an official record of leadership accomplishments, involvement in student organizations, community service activities and professional or educational development programs.

Designed as a means of recognizing “out of class” learning, development and contributions, official copies of the Co-Curricular Transcript can be used to supplement resumes and academic transcripts when applying to graduate/professional schools and by prospective employers, according to Wells.

“The CCT allows students to display all extra-curricular activities that they were involved in and awards that they received while enrolled at Sam Houston,” she said. “It shows that they were involved in other activities besides simply going to class and working.”

In order for students to access their Co-Curricular Transcript, students simply log-on to SamWeb, from the SHSU Web site, enter their username and password, click on Co-Curricular Transcript and fill out their entry and validation form.

Students who already have items on their transcript also can now edit their entries to add dates of involvement and change the participation or developmental areas of their entry.

“After a staff member validates the student’s involvement in the activity/award, the student may print out their official transcript on any computer with Internet connections,” Wells said. “It greatly expedites the validation process if a contact person is provided, however, if one is not given or that person is unavailable, another avenue of validation is explored.”

Wells said any extra-curricular activity can be included on the transcript, and there is no minimum time for participation, as long as the participation has already happened, or is in progress, and can be verified by an adviser or president.

“The activity or award must be in the past or in progress upon submission of an entry and validation form,” she said. “Additionally, we ask that students enter only one office (position) per entry and validation form.”
