New Employee Benefits Orientation Schedule

The Human Resources Department is interested in ensuring that all new employees have a successful orientation process. The New Employee Benefits Orientation Schedule is available on the Human Resources Department Web site.

• Benefits eligibility is defined as all regular staff and faculty employees that are employed by the university at least .50 FTE (half-time) for a definite period of 4 1/2 months or a full semester of more than 4 months.

• Insurance eligible graduate student employees, as a condition of employment, must be enrolled in graduate level courses at the university, and employed by the university at least .50 FTE (half-time) for a definite period of 4 1/2 months or a full semester of more than 4 months.

Graduate student employees are not eligible for participation in the Teacher Retirement System of Texas (TRS), supplemental retirement programs, or ERS TexaSaver. Additional information is also available concerning Graduate Student Insurance Eligibility and Enrollment on the HR Web site.

Please encourage all new benefit-eligible faculty, staff, and graduate student employees in your department to attend a group orientation session on or before their first active duty date. This would also apply to any employees who were not previously benefit-eligible, and are now returning to a benefit-eligible status. The paperwork completed at orientation includes the documents necessary to initiate an employee's payroll setup. In addition to the benefit documents, the employee’s approved Payroll Action Form (PAF) must be received by the Human Resources Department before the appropriate payroll deadline. A list of the Payroll deadlines is available on the Payroll Department Web site.

Please make sure that each benefit-eligible faculty and graduate student employee is aware of his/her eligibility status. If these employees have not received a benefits packet, they should obtain a packet from the Human Resources Department (College of Humanities and Social Sciences Building, Suite 410). In addition to the other documents necessary for payroll setup, insurance enrollment forms must be completed during the employee's initial period of eligibility.

Under current state legislation, there is a 90 day waiting period before part-time faculty, staff, and graduate student new hires are eligible to participate in the health insurance plans. Following the initial insurance enrollment period, the next opportunity to apply for insurance coverage (without a qualifying life event) would be during the next Summer Enrollment period.

If you have any questions, please contact Human Resources at 936.294.1070.
